Our Detailed Terms and Conditions
Booking of Coach / Confirmation
1. Your acceptance of our quote must be in writing.
2. You acknowledge and agree that –
2.2.1. All quotes we provide are for transport only and excludes all other fees such as entrance fees, which are payable by you;
2.2.2. The quoted rates are subject to fuel and statutory increases. We will give you prior reasonable notice of such increases; and
2.2.3. If you accept our quote subject to these terms and conditions, payment of 25 % deposit must be made on acceptance;
2.2.4. Balance to be paid prior to departure.
Cancellation Policy
3. If you want to cancel an advance booking, we may charge you a reasonable cancellation fee which will not exceed –
3.1. 10% of the total fee payable for the Services, provided that we receive notice of the cancellation at least 7 (seven) days before the date of departure;
3.2. 50% of the total fee payable for the Services if we receive notice of cancellation less than 7 (seven) days before departure.
3.3. Deposits are not refundable when cancelling vehicle within 30 days. This includes weather conditions.
4. Extra Charges
4.1. When booking a coach for a specific destination, extra will be charged if the kilometers are exceeded or you are not at the destination originally requested. The shortest route is always taken / used.
5. Accommodation
5.1. The Coach Company is not responsible for the accommodation of passengers at destination.
5.2 Passengers are not allowed to overnight, sleep in the vehicle at destination / cook or prepare meals in the vehicle.
6. You must pay the driver’s accommodation and meals.
6.1. A driver must be accommodated in a single room and is not allowed to share a room;
7. EXCLUSION OF LIABILITY
7.1. It is your responsibility to insure your luggage and its contents.
Except to the extent that we acted with gross negligence or fraudulent intent, we will not be liable or responsible for any lost or damaged luggage or loss or damage to the contents of the luggage.
8. Departure Points
The Coach Company allows for 3 pick-up points before departure, and on return drop off at those same pick up points, unless alternative arrangements are made with the Company.
9. Damages
9.1. The Coach Company does not hold itself responsible for any incidents, injury or accidents beyond its control e.g.
9.2. Poorly constructed, bumpy, slippery road surfaces
Storm or snow blockages on route to destination or on return journey causing diversions or longer routes at cost to the organizer or paying party.
10. The Coach Company does not hold itself responsible for injuries incurred due to overloading of:
– Passengers
– Goods
– Parcels
– Objects
11. The Coach Company is not responsible for damage or loss to luggage, personal effects eg. clothing, cameras, watches etc. due to negligence of passengers.
12.The Coach Company holds the organizers responsible for any damage to the vehicle in the event that they force the driver into inaccessible areas or roads and gateways where the driver feel that it is not safe for him to go into, putting passengers and vehicle at risk.
13. Smoking / Alcohol
13.1. Smoking and alcohol is not allowed on our coaches.
14. Any damages to the interior of coach due to smoking related incidents or abuse by passengers paying party will be held responsible in the event of a passenger injuring himself/herself on our coach due to alcohol, drug abuse or by any other means.
15. Tour Guides
15.1 The Coach Company does not provide Tour Guides, in the event of a sub-hire to fully fledged Tourist orientated Company / Organization
16. You must pay the fees for porters where such porters are used at drop offs and collections at all airports and hotels;
17. Breakdowns
17.1 In the event of our vehicle breaking down mechanically we will dispatch a mechanic from the nearest point of breakdown.
In the event the vehicle being non repairable or it takes too long for repairs to be effected, we will dispatch a replacement vehicle from our depot / nearest point to continue with the journey. Alternatively other arrangements will be made exclusively by our Company to speed up the process. If the Organizer / Paying party make their own arrangements without consulting with the Company they, themselves will be held responsible for all payments incurred, e.g. hiring of highly expensive vehicles and unnecessary hotel accommodation etc.
18. General
18.1. You acknowledge and agree that –
18.2. The service is subject to the vehicle being available at the time of confirmation of your reservation;
18.3. We will make the details of the driver and the vehicle available 24 hours prior to departure.
18.4. We may make use of other vehicles, if due to circumstances beyond our reasonable control that our own vehicles are not available. The vehicle used as a substitution might not be of equal standard.

Passengers are conveyed subject to and in terms of our
standard conditions of carriage notwithstanding anything
contained herein to the contrary
EXCLUSION OF LIABILITY
All persons entering a WILLIAMS INTERCITY vehicle and/or property
owned/rented by WILLIAMS or under its control, do so entirely AT THEIR
OWN RISK.
WILLIAMS INTERCITY is not liable for any loss or damages (including
consequential or special damages or loss of profits), loss of life, bodily injury or
damage to or loss of property of whatsoever nature and howsoever caused
and whether or not caused by WILLIAMS, its directors, its officers, servants,
agents or any other person acting on behalf of or under the control
of WILLIAMS INTERCITY. Arising out of or connected in any way with the
transportation or non-transportation by WILLIAMS INTERCITY of any
passenger or persons and/or their property.
ALL PASSENGERS SHOULD ENSURE THAT THE ARE ADEQUATELY
INSURED
DESCRIPTION OF SERVICES
WILLIAMS COACH TOURS (Pty) Ltd is a business in the transport industry
that provides public Intercity travel across South Africa and private transport
services / coach rentals.
TICKETS
Tickets are not transferable and are valid for use only by the persons to whom
they are issued and for the date and time shown thereon.
It is the passengers’ responsibility to ensure that the correct information is
shown on the ticket.
Any alteration to a ticket will render it invalid. Any change of trip requires the issue of a replacement ticket. Positive identification may be requested when boarding the coach.
FARES
All fares are subject to change without notice. WILLIAMS INTERCITY will only be bound by the fare charged upon the purchase ticket.
DEPARTURE TIME
Passengers are required to be at the departure points at least 30 minutes before the departure time shown on the ticket. Any seat not filled within 10 minutes prior to the scheduled departure time, will be offered for sale to standby passengers on a first come first served basis.
PAYMENTS, CANCELLATIONS & REFUNDS
• More than 7 days before departure re-schedule or receive a travel voucher valid for 1 month, R150 admin fee applies
• No refund, no re-scheduling less than 24 hour before departure.
• With any re-bookings, any increase in fare at the time of the re-booking being requested, will also be for the account of the Passenger. No Refunds on date of departure or thereafter.
• WILLIAMS INTERCITY will not be bound by VERBAL
QUOTATIONS. Quotes are valid ONLY at the time the quotation is provided, unless expressly indicated otherwise.
No more than one rebooking will be allowed per ticket issued. Any increase in the cost/price of the ticket will be for the account of the passenger, payable immediately on making the rebooking.
If a passenger misses the bus, no rebooking or refund will be granted.
PASSENGERS LUGGAGE
Any luggage ferried will be at the owner’s( luggage owner) risk.
Each fare-paying passenger is permitted to take no more than ONE ITEM of personal luggage not exceeding the total volume of 80cm x 60cm x 60cm in size or total mass not exceeding 25kg for all services. WILLIAMS INTERCITY reserves the right to refuse carriage of any item or luggage, which does not comply with these conditions.
There will be a charge of R15 per kg payable for all items / weight over the permitted baggage allowance.
WILLIAMS INTERCITY will not refund your ticket should your luggage not be accommodated on board.
Unaccompanied luggage will not be carried.
WILLIAMS INTERCITY is not responsible whatsoever for loss or damage to passengers’ hand luggage or personal effects, property or luggage subject to terms as prescribed in (a) above.
Harmful chemicals, explosives, animals, reptiles, combustible fluids or toxic substances will not be carried.
No bicycles, electronic equipment, fishing rods, surfboards, abnormal boxes or perishables will be carried unless prior arrangements are made with WILLIAMS INTERCITY Supervisor.
WILLIAMS INTERCITY will not accept liability for losses or damages to valuable items such as but not limited to cellular phones, jewellery, laptops or other computer equipment, electronic items, cash, credit cards and fragile or perishable items packed in baggage.
Any claims relating to luggage loss or damage will only be considered no later than 2 days from the date of travel.
INSURANCE
WILLIAMS INTERCITY does not provide general insurance cover for its passengers, their property and luggage.
MEDICAL
Expectant mothers: No passengers are allowed beyond 7 months of pregnancy. Passengers beyond 6 months of pregnancy must provide a medical certificate confirming their fitness to travel.
Passengers with special needs, including passengers with medical conditions and disabilities, are required to inform WILLIAMS INTERCITY before they travel.
WILLIAMS INTERCITY reserves the right to refuse transport of ill passengers without a medical certificate confirming their fitness to travel.
SMOKING
Smoking is prohibited on all the coaches.
ALCOHOL
Alcohol may not be consumed on WILLIAMS INTERCITY coaches and intoxicated passengers will not be conveyed. Any intoxicated passenger found on board will be instructed to disembark immediately.
No reimbursement will occur in such an event.
PETS
No animals will be carried, with the exception of a trained guide dog accompanying a blind person.
BREAKDOWN
In an event of a breakdown WILLIAMS INTERCITY DOES NOT GUARANTEE the replacement coach will be of the same standard. If a passenger decides make their own arrangements it will be at their expense and own risk.
ON-BOARD ENTERTAINMENT
WILLIAMS INTERCITY does not guarantee the availability of on-board video and audio material on any coach, although an effort is made.
CHILDREN
No children under the age of 12 years will be conveyed without being accompanied by an adult.
Children younger than 1 years travel for free if not occupying a seat.
Should more than one child under 1 year old accompany the same adult, all such additional children are required to purchase tickets at full rate.
CUSTOMER PRIVACY POLICY
WILLIAMS COACH TOURS (Pty) Ltd shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be downloaded from: http://www.polity.org.za/attachment.php?aa_id=3569 .
RESPONSIBILITY
Williams Coach Tours (Pty) Ltd takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website, customer service and support, dispute resolution and delivery of goods.
COUNTRY OF DOMICILE
This website is governed by the laws of South Africa and Williams Coach Tours (Pty) Ltd chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature.
GENERAL
WILLIAMS will make every effort to keep the current published timetable, but services may be affected by road, weather or other conditions beyond WILLIAMS control. WILLIAMS will therefore not accept liability for any costs incurred by passengers under such circumstances. WILLIAMS makes every effort to ensure connections between its services where appropriate. However, no liability can be accepted for loss or damage caused by any failure to make these connections or perceived to exist with other transport operations. WILLIAMS reserves the right to revise seat allocations without prior notice and to operate substitute vehicles of the same standard. WILLIAMS reserves the right to cancel any of its services for whatever reason without notice. Under no circumstances will any liability be accepted for losses incurred by pre-booked passengers. Reimbursement in such an event would apply, however.
Any claims relating to service quality will be considered no later than 2 days from the date of travel.
